How do envelope stuffing machines work?

An envelope stuffing machine is a machine that processes a sheet or multiple sheets of paper from a feeder or multiple feeders, then folds those pages using knife or buckle folds and finally stuffs them into and envelope and seals it.

1.    Processing mail in a productive and cost-effective way

Have you ever been in an office and seen a stack of invoices, statements and reminders that need to be put into envelopes ready for posting? Or created an exciting mailing for your customers, but had not anticipated how much time it takes to get it processed? The job of an envelope stuffing machine is to make those problems go away!

Envelope inserting machines are used by businesses to make processing mail productive and cost effective. Our equipment is used by businesses and charities to process:

  • Invoices and billing
  • Statements
  • Transactional mail
  • Delivery/packing notes
  • Renewals
  • Payment reminder letters
  • Promotional mail

In fact, it is very likely that the last item of post you opened has been through an envelope stuffing machine!

I will admit that the above images make it look like a very complex piece of machinery, and in truth it needs to be to do some very important stuff. These very important mechanical processes include:

  • Bending/folding each sheet along a straight line according to specified dimensions so every page is identical and will fit perfectly into the envelope. For most mailings this is generally C folds and Z folds but also half fold, fold-out, double parallel fold, gate (brochure) fold, and right-angle fold.

  • Detecting the number of pages to ensure only the right number of pages go into each envelope. This means you don’t have to worry about accidentally including a page from a customer’s statement amongst the pages for another customer.

Does this make it sound too complex for your requirements? It probably does, and in fact we have gone into far too much detail when actually you just need a reliable solution for getting your mail to your customers or clients. Fortunately for you, all this clever technology has been engineered into a compact device that is straight forward and very easy to use.

3. Easy to use Envelope Stuffing Machines

The advancements in this technology have come a very long way and in the last 20 years one of the biggest advancements has been the user functionality and how easy they are for a member of staff to use. Once only used by the biggest organisations and mailrooms due to their complexity and size, envelope stuffing machines have now become a reliable part of an everyday office.

4. Time saving

The drive for efficiency has increased the requirement for machines to play a more important role in day-to-day business. We all now use automation and workflows in our daily office lives so why should that not include handling paper.

The increased demand for envelope stuffing machines comes from the need to save time, and the idea of someone folding A4 sheets of paper by hand seems like a huge waste of resources.

If you are processing mail by hand each page takes approximately 12 seconds to fold, then insert into a DL envelope and seal it. An envelope stuffing machine will handle your mailings 10x faster than you can.

The pandemic and the move from being office based to now spending most/some of the time working from home has also created a demand. Many businesses were once reliant on having a big team in the office or in their department that were able to print and send their customer’s and client’s items in the post when needed.

You only need one person to use one of our envelope stuffing machines. They simply need to...

Step 1. Load the documents and envelopes

Step 3. Press start. And your letters are automatically folded and stuffed into envelopes ready for posting.

The images above show one of our very popular small envelope stuffing machines. Our medium and high-volume models can include additional feeders and have a larger capacity for paper and envelopes.

5. Stationery requirements for envelope stuffing machines

Using an envelope stuffing machine should not mean that you need to change your stationery. These machines are made to handle documents from 60 gsm up to 250 gsm, plus multiple envelope sizes. Some of the advanced machines will allow for the processing of items including brochures and other marketing material. The envelopes needed to allow a stuffing machine to seal them do need to be gummed rather than self-seal, but this change to gummed envelopes will actually reduce your stationery spend.

We supply a full range of Stuffing Machine envelopes in all sizes and colours including window, non-window and printed envelopes.
